This Privacy Notice has been written to inform individuals who are attending an event run by the Trust Network (TTN).
Ormiston Academies Trust is a ‘Data Controller’ as defined by Article 4 (7) of GDPR. This means that we determine the purposes for which, and the manner in which, your personal data is processed. We have a responsibility to you and your personal data and will only collect and use this in ways which are compliant with data protection legislation.
The Trust has appointed Alexandra Coughlan to be its Data Protection Officer (DPO). The role of the DPO is to ensure that the Trust is compliant with GDPR and to oversee data protection procedures. The contact details are:

In order to run events for TTN and promote our network, we need to process your personal data.
The personal data we collect about you includes:
§ Personal identifiers (your name, address, contact details)
§ Stills and moving images of you
This information will be gathered directly from you
This information will be made available to meeting attendees and registered member of the Trust Network after the event, and may also be published on our social media pages and website. We may use your personal data to make connections on platforms such as LinkedIn so that we can promote the network.
Generally the information that the trust holds is all held within the UK. However, some information may be held on computer servers which are held outside of the UK. We will take all reasonable steps to ensure your data is not processed in a country that is not seen as ‘safe’ by the UK government. If the trust does need to send your data out of the European Economic Area it will ensure it has extra protection from loss or unauthorised access.
We will keep this data for as long as it is deemed useful in supporting the aims of the TTN and will be stored within the TTN archives. All recording will be appropriate and securely deleted when they are no longer required. If you object to the processing we will comply where possible.
The Trust relies on Article 6(1)(f) legitimate interests. A legitimate interests assessment has been carried out. You are under no statutory obligation to agree to attend any TTN event that is being photographed or recorded. If you do not wish to attend an event that is being photographed or recorded, you do not have to. Members of TTN that cannot/ do not want to attend will be given access to the event resources and handouts at a later date.
Under UK GDPR, individuals have the following rights in relation to the processing of their personal data:
§ to be informed about how we process your personal data. This notice fulfils this obligation
§ to request access to your personal data that we hold, and be provided with a copy of it
§ to request that your personal data is amended if inaccurate or incomplete
§ to request that your personal data is erased where there is no compelling reason for its continued processing
§ to request that the processing of your personal data is restricted
§ to object to your personal data being processed. If you do not wish for your personal data to be used to connect on platforms such as LinkedIn please let us know.
